Frequently asked questions

Tickets, scanning, offline mode, Google Forms, team, data: answers to the questions organisers ask.

Is Holadoor really free?

Yes. Your first event is free with no guest limit. After that, the free plan allows up to 150 guests per event, with every feature and no card. If an event grows, you pay for just that event or move to the Pro plan.

Do my guests need to install an app?

No. They get their QR ticket by email or WhatsApp and show it on their phone or on paper. Your door team simply opens a link in their phone’s browser.

What happens if the internet drops during the event?

The scanner keeps working: it stores the ticket list on the phone and records every check-in. As soon as the connection is back, everything is sent automatically and the counters update.

During the outage, each phone only knows about its own scans: it’s the only time two doors can’t “see” each other.

Can several phones scan at the same time?

Yes. Create one door link per phone, for example one per entrance or per volunteer. They all share the same list: a ticket already scanned at one door shows up in yellow at the other. If a phone goes missing, revoke its link in one click.

How do I import sign-ups from Google Forms?

Google Forms stores its responses in a Google Sheet. Share that sheet as view-only (“Anyone with the link”) and paste its link into Holadoor. When new responses come in, the “Sync now” button adds only the new sign-ups.

Which files can I import?

An Excel file (.xlsx or .xls), a CSV, or a Google Sheet link. Holadoor guesses which columns hold the name, email, phone and ticket type, and lets you correct it before importing. Other columns are kept and end up in the final Excel.

What if someone signed up twice?

Holadoor spots duplicates (same name and same email) and creates a single ticket. Re-importing an updated list only adds the new people.

Can tickets be printed?

Yes: on sheets of 8 tickets per A4 page to cut out, or one ticket per page. Handy for guests without email or for handing tickets out in person.

Can a ticket be used twice?

No. Each ticket has a unique code that can’t be guessed. Once scanned, it shows as “already in” on every connected phone, so a shared screenshot won’t let a second person in. If your guests need to step out and come back, turn on re-entry in the event settings.

Which languages can my guests receive their ticket in?

English, French, Spanish, Portuguese or Italian. You choose the language for each event, and it applies to the email, the PDF ticket and the QR code page. Holadoor’s interface is available in the same five languages.

Does Holadoor handle ticket payments?

No. Holadoor takes care of the list, the tickets, the emails and the door, not the payment. If your event is paid, take payments with your usual tool, then import the attendee list. Holadoor charges no commission.

How many people can I welcome?

Holadoor works just as well for a 50-person dinner as for a fair with several thousand visitors. Your first event has no limit; after that, the free plan goes up to 150 guests per event and paid plans have no cap. An imported file can hold up to 20,000 rows.

Can several of us work together?

Yes. Invite your team and give everyone a role: Owner (the account and the team), Admin (events, imports and emails) or Door & view only (scanning and viewing lists). Volunteers on the day don’t even need an account: a door link is enough.

Which address are the emails sent from?

From your own Gmail or Google Workspace account, which you connect in one click: Holadoor only asks for permission to send, never to read your emails. Guests see your name and, if they reply, they write to you.

Gmail allows about 450 emails a day (Workspace, about 1,800). If your list is longer, Holadoor sends in batches, day by day, and lets you know when it’s done. You can also send each ticket by WhatsApp or print them.

Who can see my lists?

Only your team. Each organisation only sees its own events, and you can export your data to Excel at any time. The details are in our privacy policy.
